Dear Customer:

We have been delivering the Windows upgrade of our Accounting and Payroll programs at rate of about ten per month.    These programs are running in approximately 100 schools.  I have mentioned several times how difficult it has been to move our products from DOS to Windows.  We are getting there much later than anticipated--for various reasons.  One of the major reasons it took so long was we started very early.  This meant we were using inadequate programming tools and poor databases.  The flip side of taking so long is the benefit of using the very latest tools and databases.  So, now we are using the latest Microsoft products, with their heavy-duty SQL Server database.  Moreover, we have the most powerful development team we have ever had - 11 people - and the most telephone support people in our history.

The purpose of this letter is to announce the availability of two new add-on products to our Windows Accounting and Payroll program: Imaging and Outer Office Programs.  These products demonstrate our ability to respond more quickly to your changing software needs.  This was demonstrated recently, we were the first software vendor to submit Core Data information over the internet in DESE’s format. 

Accounting and Payroll Imaging:  This new, additional cost, program allows you to scan, store, and retrieve documents that relate to accounting and payroll.  Documents such as invoices, bills, deposit slips, photos, timesheets, applications, certificates, contracts, and more may be scanned and stored.  This all takes a little extra time when posting but the benefits are well worth the extra time.   Not only does it save bookkeepers many trips to the file cabinets, it puts the information online for anyone who needs it – Superintendents, Business Managers, Principals – anyone with security clearance. 

Moreover, retrieval is far more convenient than a file cabinet.  A file cabinet can only be indexed one way.  A scanned document can be found by vendor, trace number, check number, purchase order number, and account code - from your desk – instantly. 

Enclosed is a photo of our in-house Accounting & Payroll Imaging setup.  The Fujitsu 4120C scanner is shown on the left.  The left monitor shows a transaction posting.  The right monitor shows two images that have been scanned.  Both monitors and the scanner easily fit on a standard desktop.  The scanner was chosen for its size, speed, reliability, cost, and convenience.  We tested several before we found this one.  This is being mentioned because while these things are supposed to be standardized we have found they are far from it.  So, at this time, this is the only scanner we can afford to support.   

Outer Office Programs Package:  This package includes three modules, Outer Office Accounting, Time Clock, and Outer Office Imaging.

Outer Office Accounting provides read only access to specific account codes and all associated information.  If people in an outer office are responsible for their budget; then this program gives them the information they need to control it.  The account codes are distributed by the central office program administrator.

Time Clock is a new program in response to the need for schools to do a better job recording hours worked by employees.  The time may be entered on any computer on the school’s local area network.  An employee may swipe a barcoded card or enter an ID number.  Time worked on multiple jobs for an individual employee may be recorded.  Time sheets may be printed for employee and supervisory approval before submission to the central office.  Finally, the data may be automatically loaded into the Payroll program saving a lot of data entry work.

Outer Office Accounting Imaging requires imaging in the central office.  If it is available then this program allows people in an outer office to view recorded documents that pertain to the account codes for their building.  So, if they have a question, such as, why was so much charged to a particular account code; then all they have to do is look at the invoice!  They can look at the invoice without leaving their desk – forget leaving the building.
